This article explains when and at which order status an order can be synchronized.

In various webshop integrations on the Combidesk platform, there is a configuration step called ‘Select Statuses’. This step determines when an order is synchronized. The integration checks via the API of your e-commerce platform whether there are (new) orders with the selected status. If such orders exist, they will be synchronized with your accounting system.

Which order status should you choose?

In practice, statuses such as ‘Completed’, ‘Completed and Shipped’, or ‘Completed and Collected’ are the most commonly used. These statuses typically indicate that an order has reached its final stage and will not be modified further.

Important Considerations for Payment Service Provider Integrations

Are you using a Payment Service Provider integration (such as Mollie or PayPal) to synchronize payouts? Then it is crucial that the order is synchronized before the payment is processed in your accounting system.

In some cases, an order may only be set to ‘Completed’ at a later stage, while the payment has already been booked in the accounting software. This can cause discrepancies. In such cases, it is advisable to select an earlier status in the process, such as ‘Processing’ or ‘In Progress’.

Note: Make sure the order is no longer modified in this status.

Synchronizing Credit Invoices

In some integrations, it is also possible to synchronize credit invoices. You can do this by selecting statuses such as ‘Refunded’ or ‘Return in Progress / Return Processed’.

Why should you avoid selecting all statuses?

It is not recommended to select all statuses. If an order is synchronized too early in the process, any later modifications will not be processed in the accounting system. The integration only synchronizes an order once.
