Installation manual for the PayPal Exact Online integration

Connect PayPal with Exact Online and automatically process PayPal transactions in your accounting. Always up-to-date figures without manual work.

1. Connect to PayPal

To connect to PayPal, you first need to create an app in your account's PayPal Developer Dashboard.

Create an App in PayPal

  1. Go to Apps & Credentials.

  2. Click Create App.

  3. Give the app a name, for example Combidesk, and select Merchant.

  4. Click Create App.

Activate Transaction Search

  • Scroll down until you see Transaction Search on the right side.

  • Check Transaction Search and save the app.

Copy the API Credentials

  • Copy the Client ID and Secret of the app.

Install the PayPal Integration in Combidesk

  1. Search for the desired PayPal integration in Combidesk.

  2. Click Install this integration.

  3. You will be prompted to connect to PayPal.

  4. Paste the previously copied 'Client ID' and 'Secret' into Combidesk to complete the connection.


2. Connect to Exact Online

To start connecting to Exact Online, click the "Connect your.." button:

Exact Online uses different country codes. When connecting, select the correct country code and click "Save":

This takes you to Exact Online's login screen. First enter your username (Gebruikersnaam), and your password (Wachtwoord) on the next:

To connect properly to Exact Online, it must be configured correctly. Do this before continuing with the integration configuration. The button below will take you to a collection of articles explaining how to set up Exact Online.


3. Configuration of the integration

For the integration to work properly, it must be configured correctly. In the paragraph below, we'll go through all the steps of the integration in sequence. Before starting the installation, we recommend that you first carefully read through these steps.


Configure these PayPal steps:

  • Export existing transactions
    Pick a date in the past, present, or future. The first eleven imported items are free of extra charge.


Configure these Exact Online steps:

  • Select Exact Online administration
    The administration the entries will be booked in

  • Bank journal for payments
    Select the bank journal in which the sales entries should be booked

  • Ledger account debtors
    Select the ledger account for debtors

  • Ledger account Payment Service Provider costs
    Select the ledger account for Payment Service Provider costs

  • Ledger account payouts
    Select the ledger account for payouts

  • General ledger account for outgoing payments
    Select the ledger account for outgoing payments

  • Create accounts
    Indicate if you want to create new accounts in Exact Online if they don't exist. If you choose "No", bank entry lines will be booked on the payment in transit account of the journal.

  • Book currency differences
    Do you want to book currency differences between payouts and sales entries on the ledger account for currency differences? The difference will only be booked if it is less than 2% of the sales entry amount.

  • Currency difference journal
    Select the journal in which currency difference entries should be booked

  • Ledger account currency differences
    Select the ledger account on which to book the currency difference between the sales entry and the payout

  • Ledger account currency conversion transactions
    Select the ledger account on which to book the currency conversion transactions from your PayPal account


4. The Combidesk customer dashboard

How does the dashboard work?

If you've created a new Combidesk account or installed a integration, you'll receive an email with access to your Combidesk account. When you log in to combidesk.com, you'll arrive at the dashboard. This is where your integration is located. From here, you can easily adjust your integration and account settings, view the integration logs (history), and access support.

What can you view via your Combidesk account?

From your Combidesk dashboard you also have access to your account settings, connected accounts, billing and support.

How do I configure the PayPal Exact Online integration?

During installation, you will configure the following settings: (1) Administration: select the administration in which entries will be created. (2) Journal: select the bank journal for PayPal entries (type: Balance – Bank). (3) Debtors: select the default general ledger account for debtors (type: Balance – Debtors). (4) Transaction costs: select the general ledger account for transaction costs (type: P&L – Costs). (5) Payouts: select the interim account for PayPal payouts (type: Balance – General). Optionally, you can export historical payouts by setting a start date.

What is reconciliation and how does it work with PayPal and Exact Online?

Reconciliation means matching incoming payments to open invoices in your bookkeeping. The PayPal Exact Online integration from Combidesk fully automates this process: the connector retrieves your PayPal payouts daily, finds the corresponding open invoices in Exact Online, and books everything automatically when there is a full match.

How often are PayPal payments reconciled in Exact Online?

The integration synchronizes automatically every night by default. You don't need to do anything. If a synchronization fails, the connector will retry at the next scheduled run. If problems persist, you will be notified by email.

What permissions do I need in Exact Online?

You need access to General Ledger Accounts and Journals, Entries, and Customers in Exact Online. Check our knowledge base for a complete checklist before you start the installation.

Does the PayPal Exact Online integration work with my webshop?
